Privacy & Collection Notice
Effective 13 October 2026
Your home record is private to your account. We use it to provide the kit, not to advertise with your photographs. Buying does not automatically subscribe you to marketing.
Who we are
Fence & Deck Australia Pty Ltd trading as BUILD COMPASS AU, ABN 88 662 847 547, supplies the Practical Completion & Handover Kit. Contact info@buildcompass.com.au for privacy, support or refund enquiries. This notice concerns this kit, not every service on our main website. We make these commitments regardless of whether a particular privacy law requires them.
What we collect
We collect your email address, account identifier and sign-in information to provide secure account access. Without an email address, we cannot provide the signed-in kit. Our providers process technical information such as IP addresses, request times, browser information and security or delivery logs to operate and protect their services.
For purchases we record transaction references, amount, payment status, payment and access dates, accepted terms version and time, and your separate optional email choices. Stripe collects your payment details. We do not store your full card number.
When you save online, we store the home and visit details you enter, room checks, observations, requests, builder responses, limitations, rechecks, photo copies and captions, file identifiers and save timestamps. You choose what to include. Avoid unnecessary images of people, identity documents, security codes or unrelated information. Only provide information you are entitled to share. Tell other people before including their personal details where appropriate.
We also keep correspondence and relevant account or purchase details when you contact support. We generally collect information from you, with account, delivery and transaction confirmations supplied by our service providers.
How we use it
We use the information to sign you in, supply and save your kit, manage payment and expiry, prepare downloads, send necessary service messages, prevent misuse, answer support requests and meet legal obligations. We do not automatically send your report to your builder. You decide who receives your downloaded files.
You retain ownership of your original notes and photographs. Using the kit does not give us permission to use them in advertising. We may disclose relevant information to service providers, advisers assisting with a dispute or support matter, or authorities where required by law.
Service providers and overseas processing
Supabase provides account access, the inspection database and private photo storage. The production project is in Sydney. Cloudflare hosts the application; Stripe processes payments; Resend sends service emails; Google provides our support mailbox. These providers receive information needed for their roles. The payment service receives account and order references, not your inspection notes or photos.
A Sydney database does not mean all processing occurs in Australia. Our providers operate internationally, including in the United States, and may process service, support, delivery and security information through their overseas operations and subprocessors. We cannot promise Australian-only handling. Their current information is available from Supabase, Cloudflare, Stripe, Resend and Google. Contact us if you need further information before providing sensitive material.
Optional newsletter and offers
The newsletter and Build Compass AU offers choices are separate, optional and initially unticked. Neither is required to buy or use the kit. We record your choices. Newsletter delivery uses Beehiiv, including processing in the United States; inspection notes and photographs are not provided to it for marketing. We will not send promotional messages until the relevant consent and unsubscribe controls are operating.
You can withdraw either choice independently through the unsubscribe facility in that email or by contacting info@buildcompass.com.au. We action marketing unsubscribe requests within five working days, without charge or a sign-in requirement. Necessary account, payment and service messages may continue. We retain the minimum suppression information needed to respect an unsubscribe request.
Saving, recovery and deletion
Your browser holds sign-in session information. Online saving requires an internet connection: wait for the saved confirmation before closing the kit. Reports and backups downloaded to your device contain the information and photo copies you included. Protect those files and keep original photographs separately.
Interactive access lasts three calendar months from successful payment. After access ends, we retain saved inspection notes and photo copies for 30 days for read-only recovery. They are then scheduled for removal from the live service. A short processing delay or a failed job can delay deletion; failed jobs are flagged for review. A narrowly justified legal or dispute-related hold may require particular records to be retained longer. Such retention does not extend interactive access.
Deleted database content may remain temporarily in restricted disaster-recovery backups until those backups rotate. Our current Supabase Pro service retains seven days of daily database backups; these do not include photo file contents. Backups are not routine customer recovery storage. If a backup is restored, applicable deletion and suppression requirements must be reapplied before normal customer access resumes. Deleting hosted content cannot remove copies you or others have downloaded.
Purchase, accepted-terms, consent, account, security and support records are separate from your inspection. We retain them only while needed for the relevant business or legal purpose, including accounting, resolving complaints and respecting marketing preferences. They are not all deleted at the end of the inspection recovery period.
Your requests and complaints
Email info@buildcompass.com.au to request access, correction or earlier deletion, or to raise a privacy complaint. Never send your sign-in code, password or full card details. We may make proportionate identity checks. We respond within a reasonable period and explain any refusal, subject to legal restrictions. Earlier deletion can affect continued use; we will explain this before acting. A request can be made after interactive access ends.
If the Privacy Act applies, you may contact the Office of the Australian Information Commissioner after first raising your complaint with us. Other legal and consumer rights remain available.
